Managing team communication through personal WhatsApp groups and SMS threads creates real problems, the wrong people in conversations, important messages buried, and no reliable way to reach the right staff quickly.
Microkeeper's updated messaging system keeps operational conversations inside the same platform where your rostering, timesheets and payroll already live. Here's what's now available in your account.
What's new in Microkeeper Messaging
The updated messaging system is a significant setup from basic notifications. Here’s what’s now available inside your Microkeeper account.
Direct messages
Send one-to-one messages to any staff member at your location, or any employee you manage. Access is governed by your actual workforce structure, no phone numbers, no personal apps.
Manual group channels
Create group conversations for any combination of staff. Name the channel, select participants, and start communicating. Useful for project teams, specific departments, or any ad hoc group.
Synced group channels
The most operationally useful addition. A synced channel links directly to one of your existing Groups in Microkeeper. As staff are added or removed from that Group, the conversation updates automatically, no manual maintenance required. The right people stay in the conversation because the channel follows your workforce structure.
File and image sharing
Attach files up to 20MB, paste images directly into the message field, or upload from your device. Useful for sharing rosters, certificates or policy documents.
Rich text formatting
Messages support bold, italics, strikethrough, lists and tables, useful when communicating structured information or instructions to a team.
Replies and reactions
Reply directly to a specific message to keep responses in context, or react with an emoji to acknowledge without adding noise.
Conversation settings
Rename conversations, add or remove participants from manual channels, and manage group membership from the conversation header. Synced channels handle membership automatically via the linked Group.
Use cases
- Roster and shift changes: communicate updates quickly without leaving the platform.
- Onboarding: message new starters from day one, share documents, and include them in relevant channels as they’re added to groups.
- Multi-site communication: location-based access means staff only see conversations relevant to their operational context.
- Compliance and documents: share policy updates or certification requirements with a clear record of who received them.
- Team coordination: replace informal personal group chats with structured, persistent channels that stay in sync with your roster groups.
Where to find it
Messaging is available under the messaging tab in your employee console.
From there, you can start a direct message, create a manual group channel, or set up a synced group channel linked to one of your existing Groups.
