A four-phase process covering discovery, training, parallel proof, and go-live. Designed for businesses that need a clean, well-configured setup without highly complex award structures or multiple integrations.

PHASE 1 - DISCOVERY

We take a deep dive into your business and payroll requirements. Before configuring a single setting, we understand your workforce structure, Awards, and EBAs. You’ll meet your Account Specialist, define your project stakeholders, and complete the documentation we need to build your account accurately.

PHASE 2 - TRAINING YOUR TEAM
APPROX. 2 WEEKS

Your account is built and it's time for your team to learn it. We train your administrators, managers, and payroll staff on the modules relevant to their role, HR, rostering, timesheets, and payroll. A formal project check-in confirms readiness before we move forward.

Admin and HR training - 30 min
Rostering and timesheet training - 1 hr
Project Check-In - 30 min

PHASE 3 - PARALLEL PROOF
1 FULL PAY PERIOD + ARREARS

We run payroll in both your legacy system and Microkeeper simultaneously. Managers roster and approve timesheets, staff clock in and request leave, and we process at least one full pay cycle. Results are compared and the system is fine tuned until everything aligns.

Parallel Pay Run Creation and Review - 1 hr

PHASE 4 - LIVE
1 FULL PAY PERIOD + ARREARS

Your first official pay cycle runs entirely within Microkeeper. We perform the final data migration, leave balances, year-to-date figures, and our team remains on high alert for hyper-care support to make sure everything runs smoothly.

A five-phase process that adds a dedicated Build and Testing phase before training begins. Designed for businesses with multiple Awards or EBAs, complex payroll rules, larger teams, or more involved workforce structures that require additional configuration time and user acceptance testing.

Your Implementation Specialist builds your payroll rules and configurations, then works through User Acceptance Testing with your team. You define the scenarios, we test the automation, and nothing moves forward until you sign off.

PHASE 3 - TRAINING YOUR TEAM

How long does implementation take?
Standard implementation typically takes 8–10 weeks depending on your pay cycle frequency and the speed of document collection from your side. Advanced implementation typically takes 12–14 weeks. Timelines can vary based on complexity and responsiveness during the discovery phase.
How is implementation priced?

What do I need to prepare before implementation starts?

Can I do a self-service setup instead?
Yes. Microkeeper can be set up without implementation support, and many smaller businesses do so using our guides, FAQs, and support team. Implementation is recommended when your payroll is complex, your team is large, or you want the confidence of a correctly configured account from day one.
What support do I get after implementation?
Once you go live, Microkeeper's standard support team is available by phone and ticket, real people, no bots. During the go-live phase itself, your Implementation Specialist remains on high alert for hyper-care support to make sure your first pay run goes smoothly.
Does implementation cover integrations like Xero or Beam?
Integration configuration, including Xero and Beam superannuation, can be included in your implementation scope. Raise it during the discovery phase and your Implementation Specialist will incorporate it into the build.
What happens if my requirements change during implementation?
Changes to scope during implementation are managed through your Implementation Specialist. Minor adjustments are handled as part of the process. Significant changes to payroll complexity or business structure may affect the timeline and, in some cases, the quoted price.
