Configuring your Microkeeper account: setting the foundation for success
Now that you’ve created your Microkeeper account, it’s time to tailor it to your business needs. Think of this process as setting up your new office, you’re arranging everything just the way you like it, so your day-to-day operations run smoothly.
We’ll walk you through these key areas:
Business contact configuration
System settings configuration
Roster settings configuration
Timesheet settings configuration
Don’t worry if some terms sound unfamiliar, we’ll explain everything as we go along. Remember, these settings are the backbone of your Microkeeper experience, so take your time to understand each option.
In order to access the settings panel of your account, you need to navigate to your Global Settings page under Settings>General>Global.
Your Global Settings acts as the control room for your entire Microkeeper system. Here, you’ll put in crucial information about your business and decide which features you want to activate.
Business contact configuration
First things first, you’ll need to fill in your business contact information. This might seem basic, but it’s essential for ensuring all your reports and communications have the correct details.

This is the name everyone knows your business by. It’s like your business’s nickname - the one that appears on your storefront or website.

This goes hand in hand with the given name. It’s the last name of your business’s point person.

System settings configuration
Next, we’ll tackle the System Settings. There are two key settings you absolutely need to configure:
Start of the work week: this might seem trivial but it’s actually crucial. Different industries have different standard work weeks. Are you a Monday to Friday operation, or does your week start on a Sunday? Setting this correctly ensures all your rosters and reports align with how your business actually runs.
Standard work week: this one will be set to 7.6 hours a day / 38 hours per week as a default.
Setting Microkeeper to Version 5: This ensures you’re using the latest and greatest version of our software, with all the newest features at your fingertips.
With Microkeeper, optional settings can enhance your experience. Think of these as add-ons to your new office - they’re not necessary for basic operation, but they can make your life a whole lot easier if they fit your needs.

Groups
Think of this as creating different “teams” within your business. It’s super handy if you’ve got multiple locations or if different groups of employees are on different awards.
Jobs
This feature lets your employees clock in and out of specific jobs, giving you a crystal-clear view of where time is being spent.
Skills matrix
Your skills matrix works as your digital filing cabinet for employee qualifications (Working with Children Check, RSA, White card, etc).
Accounting suite
We can directly integrate with Xero, sending all your payroll data to the suite. For any other software, send it through payroll invoice journey.
Messaging
We’ve added a basic messaging system to Microkeeper. To get started, head over to your Employee Console > Messaging to start a conversation.
Vevo checks
Streamline your onboarding process by performing VEVO checks for your staff. If you turn this on, your active staff will need to enter their passport number when they’re getting set up.
MFA required
We highly recommend turning this on for anyone who has access to Settings. It’s an extra layer of protection, because you can never be too careful with important business data.
Organisation chart
If you turn this on, all staff can see the full organisational chart - right up to the big bosses. If it’s off, only the manager and admin staff get the full picture. *Staff can always see who their direct manager is regardless of this setting.
My Rewards
We’ve teamed up with My Rewards to offer a little something extra for your staff. By default, you’ll get a free trial for you and your staff. Your team can access this via their Employee Console > My Rewards.
Profile pics
It’s always good to put a face to your name.
Take a moment to read through these options. Each one is designed to address specific business needs. For example, if you have a complex organisational structure, activating “Groups” might be beneficial. Or if you need to track specific competencies, the “Skills Matrix” could be a game-changer.
