Configuring your roster: the framework for workforce success

Your roster is the foundation of effective workforce management, and Microkeeper makes it highly configurable to suit your business’s unique needs. Whether you’re managing a single site or multiple departments, our system allows you to structure your roster in a way that aligns perfectly with how your business operates.

The tree layers of rostering

Microkeeper’s rostering system is built around three flexible layers.

  1. Locations or Departments: these are the broadest categories, representing physical or operational divisions within your business. In Microkeeper, these are referred to as “locations”.
  2. Roles, sub-departments, or areas: this optional layer allows you to define specific roles or areas within each location.
For example: a retail store might have roles like “cashier” or “stock refill”. In Microkeeper, these are referred to as “roles”.
  3. Jobs or cost-centres: this advanced layer is primarily used when integrating with Microkeeper payroll. Jobs allows you to track hours worked against specific tasks or cost centres for detailed reporting. In Microkeeper these are referred to as “jobs”.

Not every business will need all three layers, and that’s okay! The flexibility of Microkeeper means you can configure your roster in a way that makes sense of your operations. Let’s explore some examples:

Example 1: Retail Store

Fruit shop - Register
- Stock refill
- Warehouse

- Back of house

Example 2: Cafe

These examples demonstrate how businesses can use Locations, Roles, and Jobs to create a clear and organised structure for their workforce.
